Onboarding walkthrough

Three quick steps inside the monday.com Autoza AI app.

Install & authorize

Install Autoza AI from the monday.com Marketplace and authorize the app on your account. Open Admin → Apps → Autoza AI → Settings to launch the wizard.

Choose your calling option

Pick between the free 100-call trial or your own Retell AI account:

Free trial

Click Start with 100 free calls. We provision an AI agent on our shared Retell account and assign you our calling number. You're done in seconds.

BYOK

Click Use my own Retell AI account, paste your API key, then pick the Retell phone number you want to call from.

Configure your board

Confirm your board name (we suggest Autoza AI – Call Schedule) and enter the email where late/absent notifications should go. We build the dashboard board, all required columns, automations, and a sample project board for you. This takes about a minute.

Activate

Click Activate Autoza AI. In about 30 seconds we provision and publish your AI voice agent on Retell, link your calling number, and flip the automation live.

Setting up your own Retell AI account

A 5-minute walkthrough — only needed when you upgrade from the trial or pick BYOK on day one.

Create your Retell AI account

Head to retellai.com and sign up. The free signup tier lets you provision numbers and test calls — Retell only bills you for what you use.

Verify your email and complete the basic profile setup so the dashboard becomes available.

Buy a phone number

In the Retell dashboard go to Phone numbers → Buy number. Pick a country, area code, and a number you like.

Heads up: Retell phone numbers cost roughly $2 USD per month per number, plus per-minute outbound call costs. You buy numbers on Retell directly with your own card — Autoza AI never touches your billing.

You don't need to assign the number to any agent yet — Autoza AI does that for you during activation.

Generate an API key

Open Settings → API Keys in your Retell dashboard. Click Create API key, give it a recognisable name (e.g. Autoza AI), and copy the generated key — it starts with key_…

Treat this key like a password. We store it encrypted with AES-256-GCM, but it grants full access to your Retell account — anyone with it can incur calling charges on your card.

Connect it to Autoza AI

In monday.com, open the Autoza AI settings panel:

  • ADuring onboarding: pick "Use my own Retell AI account" on step 1, paste your key, and select your number.
  • BAlready on the trial: on the active settings page, click Connect your Retell AI account on the trial card. Paste the key, pick the number, and we'll provision a fresh agent on your account automatically.

We re-create the AI voice agent on your Retell account, assign your chosen number, and atomically swap your tenant off the trial. The next call goes out from your number.

Configuring your call schedule

Define who gets called, when, and how often — all from a Monday board.

On the "Autoza AI – Call Schedule" board

Each row links to a project board and contains call subitems.

Main items
Each row represents a project or team you want call automation for.
Project URL
Pastes the Monday URL of the project board so the AI has context.
Subitems
Define call schedules — call type, time, timezone, and frequency.
Automation
Set to "Active" to enable calls for that row, or "Paused" to stop.

Subitem column reference

Each subitem defines exactly one call schedule.

Reason for Call
"Status Update" or "Start of Day" — picks which AI prompt is used.
Start Date
The first day this schedule should fire. The scheduler ignores items with future start dates.
Scheduled Time
Time of day to call (e.g. 7:00 AM, 2:00 PM). Interpreted in the row's Time Zone.
Time Zone
The employee's local timezone (e.g. America/Los_Angeles). Drives accurate scheduling.
Frequency
"Every Day", "Mon-Fri", "Weekly", "Monthly", or one-off — controls repetition.

Using Call Now buttons

Trigger immediate calls without waiting for the scheduler.

SOD: Call Now

Triggers an immediate Start of Day check-in call to whoever's assigned to the row.

SU: Call Now

Triggers an immediate Status Update call. The AI asks about open tasks and progress.

Viewing call history

Monitor every call with detailed analytics, filters, and AI summaries.

Click the Call History tab on your Call Schedule board:

Detailed logs
Expandable rows with full call context, AI summary, and employee responses.
Statistics
Totals, success rates, and breakdowns by call type.
Filters
Filter by call type and time period — today, 7 days, 30 days.

Managing settings

Pause, resume, edit notifications, or upgrade — all in one panel.

Instantly stop or restart all automated calls without losing your configuration.

Update your notification email and (BYOK only) your calling-from number.

Trial users see remaining free calls + a one-click upgrade flow to bring their own Retell key.

How it works under the hood

The end-to-end flow from a scheduled time slot to a logged outcome.

The scheduler runs every 30 minutes, checking active schedules across all tenants in their local timezones.

When a schedule matches the current 30-minute window, the AI agent initiates a phone call via Retell AI.

The AI gathers attendance status — on-time, late, or absent — and any free-form notes.

If late or absent, an email notification is sent instantly to your dispatch team.

Call results, transcripts, and AI summaries are logged and visible in Call History.

If the employee doesn't answer, a delayed retry is queued in our database and reattempted automatically.
